FAQ

Questions, answered

Everything clinics ask before switching to Nem. Still unsure? Book a demo.

Platform

What is Nem?+

Nem is a HIPAA-oriented, AI-native practice management platform for US and Canadian dental, medical and mental-health clinics. It combines an AI Voice Agent with patient records, scheduling, billing, assets and chronic care management in one system, so your front office and records stay in sync.

What does Nem replace?+

Nem replaces the patchwork most clinics run: a separate phone/answering service, scheduling tool, billing and invoicing, and care-management spreadsheets. Running them as one platform removes the double data entry and disconnected systems that drive front-desk overload and errors.

Do my patients need to download an app or log into a portal?+

No. Patients simply call your existing number and the Voice Agent answers; reminders and confirmations go out by text and email. There is no separate patient app or portal to install or manage.

Does Nem support multiple locations and providers?+

Yes. Nem is multi-location by design (an organization can hold many clinics), with per-provider schedules and per-location settings. Pricing is per location rather than per provider, so adding front-desk and support staff does not increase your bill.

AI Voice Agent

What can the AI Voice Agent do?+

Nem’s Voice Agent answers inbound calls and can book, reschedule and cancel appointments, answer billing and insurance-status questions, and take messages. It works around the clock, so the roughly one in three calls clinics miss, and after-hours calls, are still captured.

Will it transfer the call to a real person when needed?+

Yes. The agent is scope-limited to front-desk tasks. Anything outside that scope, or any clinical question, is routed to your staff based on rules you set, and it hard-refuses to give medical advice, diagnoses or chart interpretation.

Is the Voice Agent safe with patient information?+

Yes. The agent verifies a caller’s identity before any patient information is shared, stays within booking and billing tasks, and every action is audit-logged. It runs under a Business Associate Agreement before any real patient data is handled.

Chronic care management

Which care-management programs does Nem support?+

Nem runs all six Medicare care-management programs, CCM, RPM, PCM, RTM, BHI and TCM, on one unified care-plan engine, rather than a separate tool per program. Each program is a configuration layer on the same engine, so workflows and reporting stay consistent.

Does Nem track the time and documentation needed to bill?+

Yes. Nem logs care-management time per named staff member and captures the care plan and patient consent, producing the audit-ready documentation that supports the claim, which is the operational burden that otherwise stops clinics from capturing this recurring Medicare revenue.

Does it enforce Medicare concurrency rules?+

Yes. The engine encodes the program-compatibility rules (for example, CCM and PCM cannot both be billed for the same patient in the same month) so you do not double-count time or trigger denials when a patient is in more than one program.

Security & HIPAA

Is Nem HIPAA compliant?+

Nem is built to the HIPAA Security Rule safeguards: audit logging, encryption in transit and at rest, least-privilege role-based access, two-factor authentication and PHI minimization. Note that HIPAA has no official certification; Nem signs a Business Associate Agreement before any real patient data is processed.

Will you sign a BAA?+

Yes. A signed Business Associate Agreement is available at onboarding and is required before any protected health information is handled. During the current demo phase Nem uses synthetic data only.

Is Nem SOC 2 certified?+

Not yet. Nem already follows the underlying controls (access control, audit logging, encryption, change management), and SOC 2 is on our roadmap. We will publish the report once a SOC 2 examination is completed; we do not claim a certification we do not yet hold.

How is my data protected?+

Data is encrypted in transit (TLS) and at rest, access is role-based and least-privilege, and every create, update, delete and export is audit-logged. Protected health information is never placed in email bodies, URLs, logs or analytics.

Pricing

How much does Nem cost?+

Nem is priced per location: Starter is $299, Growth is $899 and Professional is $1,999 per month, plus a custom Enterprise tier. Providers and staff are included up to your plan limit. The AI Voice Agent is an add-on at $249, $499 or $899 per month for 300, 750 or 1,500 included minutes, with additional minutes at $0.85, $0.70 and $0.60. Care Management is a separate subscription priced by enrolled patients: $299 at 50, $599 at 150, $1,199 at 300, and custom above 300 with a $4.00 per enrolled patient per month floor. The chatbot is not available yet.

Is pricing per provider?+

No. Nem charges per location, not per provider or per seat. Growing your front-desk and support team does not inflate the bill, which avoids the per-seat pricing that makes many practice management systems expensive as you grow.

Is there a free trial?+

Yes. New clinics start on a 14-day free trial with no credit card required, and can populate it with sample data to see the platform working immediately.

Onboarding & migration

Can I migrate my existing patient and billing data?+

Yes. Nem supports importing your patients, staff and procedure catalog from CSV files. Imports are insert-only and validated with a dry-run preview first, so a migration adds your records without overwriting or deleting anything.

How long does it take to get started?+

You can set up the Voice Agent in minutes and migrate patients and billing on day one. Because Nem is one platform rather than several integrations, there is far less to configure than stitching separate phone, scheduling and billing tools together.
